The project intake process is where XNAT admins work with a study's Primary Investigator to define system and project requirements. This is often an ongoing process, but the definition of key project attributes and requirements up front can make the setup process easier to manage. It can also help set expectations for development time for such PI requests as custom reports. You may find it useful to use a standardized questionnaire to help gather this information in a programmatic way. A sample form was created and presented as part of the 2012 XNAT Workshop's opening session.

A typical project intake process will cover four major topics:

Project Structure and Rules

  • Is this a multi-site project?
  • Is this a longitudinal study? (Does it track subjects by "visit"?)
  • How should "bad data" be handled?
  • Are you planning on making any subset of your data public?

  • Will data need to be anonymized?
  • What kind of QC will be performed?

Data Inputs

  • What kind of data will this project be acquiring?

  • What data sources (including scan sources) will be in use?
  • What upload process(es) should be used?

Project Users

  • How many people should have full access to your project data?
  • Will you need siloed access to project data? (common in multi-site studies)
  • Who will be uploading data?
